Administration
Faq

PLEASE NOTE: Most of our lessons happen in schools and are administrated directly from our head office and lesson fees are charged straight to the parents of the students.

If this is not the case for your child's lessons (for example if you pay the school for lessons rather than us, or you don't have lessons at a school) then some of the following information on these pages may not be applicable to you.

Scamps Terms

We administrate all our lessons based on the traditional three term per year system - Autumn Term, Spring Term & Summer Term.

Please bear this in mind if your school does not do the same!

Invoicing and payment of lesson fees

An invoice is sent to you when your child first starts their lessons, and then prior to the start of each term on an ongoing basis, unless you give us notice to stop.

Each invoice will be for the lessons for that term, up until the next main school holiday (traditionally Christmas, Easter and the Summer holidays).

The invoice will give details of the lessons, the fees due and when payment is required.

Payment can be made either by credit/debit card over the telephone, by cheque or postal order, or in cash if you are able to call into are office in person.

Under no circumstances should payment be offered to the tutor.

We accept Mastercard, Maestro, Solo and Visa.

Lesson Scheduling

When your child's lessons first start, we will contact you to give you weekly lesson time, after we have arranged it with the school.

After that, we review lesson schedules as necessary due to changing circumstances.

Although we do try to minimize changes, it may be necessary to alter your child's lesson time for a variety of reasons, including:

  • Groupings being adjusted to match ability levels and personalities;
  • Students have left the class;
  • New groups starting at the school;
  • Changes in a tutor's availability.

Your lesson times are shown on the paperwork that you receive prior to the start of each new term - please check the details when you receive this. If a change in the lesson time does cause you a problem, please call us - we may be able to re-adjust to suit you better.

If lesson times change other than at the start of a term, we may contact you directly to inform you, or give the details straight to the students if the lesson happens within normal school hours.

Book Orders

We supply all the books that the student may need for their studies directly from our head office. When your child is ready for the next book, the tutor will usually send home a book order slip.

To obtain a copy of the book that they need, you can either send this slip to our head office with payment, or call to order over the phone with a credit/debit card. In either case, the book(s) will normally be sent to you at your home address.

When your child needs a book published by an external organisation (e.g. Grade syllabuses) you may of course choose to obtain a copy from elsewhere if you wish, but we do offer this service to try to make the process as easy as possible for you.

We also endeavour to keep all the books that our students are likely to use in stock so that you receive them quickly and prevent a potential pause in your child's progression.

Stopping lessons

We very much hope that you child enjoys their lessons with us, progresses well and sticks by their commitment to learn the instrument for a good length of time.

However, if the time comes when you wish to withdraw your child from lessons, please remember that it can only it can only be at the end of a term, and you must give adequate notice to stop directly to our head office before the end of the previous term.

We need to know in advance because the lesson scheduling for each new term and reservation of places is carried out in advance - the dates that you must notify us by if you do wish to withdraw your child are as follows:

  • 1st Dec in Autumn Term

  • 1st Mar in Spring Term

  • 1st Jul in Summer Term

On receipt of your notice to withdraw, we will issue you with a cancellation code as confirmation that we have received your request. Please keep this cancellation code safe.

If we do not receive notice at head office by the above dates, you will have to pay a cancellation fee in lieu of notice.

This is normally equivalent to 6 weeks worth of fees but payment of this fee does entitle the student to attend lessons untill half term.

Please see our full terms and conditions shown on your last invoice or here for further details of any of the three sections on this page.
